Automate your routines with RPA
Robotic process automation (RPA) is a solution to tasks that cannot be automated using traditional back-end solutions. Our software robot Aili loves routines and rule-based work and will happily help you in your automation needs.
Case Senate Properties | RPA brings improved quality and new ways of working
Senate Properties is a government work environment partner that manages 9,000 properties across the country. The company is working to take advantage of digitalization to modernize the way it works, and the potential of software robotics was identified as part of that goal. Through a public tender, the Senate found a skilled partner in Efima with whom processes have been developed and automated throughout the organization.
Automation frees up your experts for more meaningful tasks
Implementing our software robot Aili is considerably easier compared to traditional system projects. During the initial mapping, we identify the processes in which robotics can be effectively utilized. After this, we will give our recommendations on RPA for your company's use.
Aili robot excels in repetitive tasks
Rule-based and repetitive routine tasks are optimal targets for leveraging robotic process automation. Aili follows the instructions and rules closely. For example, tasks that require a lot of manual data entry are handled faster, better and, above all, flawlessly by Aili.
Aili robot saves you money and time
A software robot uses applications via their user interfaces just a like a human would. This means that difficult and costly integration projects are a thing of the past. Aili only needs instructions, after which she works like a charm. And what's even better, she can work around the clock.
Aili robot is your favorite colleague
Aili keeps your employees happy. When she takes care of the numbing routines, your employees are freed to work on more demanding and rewarding tasks. Aili won't forget even the smallest or the most irregular tasks, and she also keeps a record of all the things she does.
RPA supports and complements people’s work
A software robot enjoys repetitive rule-based work – unlike us humans. PRA frees people up for more productive work and provides excellent support for traditional back-end automation. The benefits of RPA can be divided into three main factors.
Frees people from routines
The software robot supports and complements the work done by humans. When a software robot takes over repetitive routines and volume processes, employees can focus on more meaningful and productive tasks.
Increased accuracy and efficiency
The quality of repetitive manual work is improved because robots do not make typing errors, for example. In addition, RPA helps to speed up many different processes and shorten their turnaround times.
Works with any software
RPA effectively complements the automation built into other IT systems. It can also extend the lifecycle of your other systems by bringing them more functionality and more efficient processes through automation.
Accounts payable as an example
RPA can be utilized effectively at different stages of the purchase-to-pay process. For example, validating and completing invoice information and processing an invoice can be done completely without human assistance. The employee only needs to accept and pay the invoice. This frees up people's time to deal with exceptions and tasks that support your business goals.
Customer records as an example
Various customer data verification tasks are easily handled with the help of robotic process automation. A robot uses browser-based business information services effortlessly on its own. For example, in the case of bankrupt companies, the robot can be taught to mark those companies not eligible for sales. Data checks can be done as often as daily, which would be far too expensive and time consuming if done by a human.
Video | RPA helps unemployment funds
Futunio, the strategic digitalisation partner of unemployment funds and trade unions, is enhancing the automation of its unemployment fund customers with robotic process automation (RPA). RPA can also be used to extend automation to paper-based processes. Efima is Futunio's partner in RPA.
One task in which Aili already helps the unemployment funds to process applications is to retrieve earnings-related pension extracts from the Finnish Center for Pensions' (ETK) online service and add them as attachments to new applications. Check out the process on video (only in Finnish).
Five steps to robotic process automation
By following these steps, getting started with RPA is easy and effortless. The benefits of automation are seen quickly, and the robot pays for itself in just a few months.
Identify tasks that can be automated
Before RPA can be utilized, tasks suitable for robotization are identified. Not everything can and should be automated. Typically the best processes for automation are:
- Rule-based processes
- Repetitive processes
- Routine tasks that require manual work
Develop your processes
Identifying automation targets is also a great opportunity for process development. Careful examination of one's own processes often reveals steps that are unnecessary and can be omitted.
The processes designed to be robotized are precisely defined. The software robot follows the rules precisely, so the work steps to be automated are described and defined in detail. The better the processes and their rules are described, the better the robot can perform the tasks.
Experiment with RPA
Before the full implementation of RPA, it is a good idea to choose 1-2 processes in which automation can be tested. RPA is quick to implement, and during the experimental period a better picture of the suitability of RPA in a real operating environment is obtained.
An experiment is recommended when considering additional automation targets, as the experiment does not usually require a final commitment. The developments identified during the trial period are easy to take into account in the actual RPA implementation.
Selecting the RPA supplier and delivery model
After a successful trial period, the choice of RPA delivery model and supplier follows. Typically, RPA is acquired either as a cloud service (Robotics-as-a-Service, RaaS) or under license for the company's own use. The choice between different delivery models is always made on a case-by-case basis.
Acquiring RPA as a cloud service allows the service to be easily scaled to meet changing needs. The supplier is responsible for maintaining the service and make the software robot available to customer in accordance with the agreement.
Acquiring an RPA license, in turn, guarantees full control but also full responsibility for the software. The maintenance and development of the robot thus remains in the company's own hands.
Building a roadmap for the future
Once the choice of acquiring RPA, delivery model and supplier has been made, a roadmap for utilizing it will be created. The plan should take into account how RPA will be utilized in the future, what kind of expertise is needed for this, and how and on what schedule the planned steps will be implemented.
