RPA supports and complements people’s work

A software robot enjoys repetitive rule-based work – unlike us humans. PRA frees people up for more productive work and provides excellent support for traditional back-end automation. The benefits of RPA can be divided into three main factors.

Futunio, the strategic digitalisation partner of unemployment funds and trade unions, is enhancing the automation of its unemployment fund customers with robotic process automation (RPA). RPA can also be used to extend automation to paper-based processes. Efima is Futunio's partner in RPA.

One task in which Aili already helps the unemployment funds to process applications is to retrieve earnings-related pension extracts from the Finnish Center for Pensions' (ETK) online service and add them as attachments to new applications. Check out the process on video (only in Finnish).

Five steps to robotic process automation

By following these steps, getting started with RPA is easy and effortless. The benefits of automation are seen quickly, and the robot pays for itself in just a few months.

Identify tasks that can be automated

Before RPA can be utilized, tasks suitable for robotization are identified. Not everything can and should be automated. Typically the best processes for automation are:

  • Rule-based processes
  • Repetitive processes
  • Routine tasks that require manual work

Develop your processes

Identifying automation targets is also a great opportunity for process development. Careful examination of one's own processes often reveals steps that are unnecessary and can be omitted.

The processes designed to be robotized are precisely defined. The software robot follows the rules precisely, so the work steps to be automated are described and defined in detail. The better the processes and their rules are described, the better the robot can perform the tasks.

Experiment with RPA

Before the full implementation of RPA, it is a good idea to choose 1-2 processes in which automation can be tested. RPA is quick to implement, and during the experimental period a better picture of the suitability of RPA in a real operating environment is obtained.

An experiment is recommended when considering additional automation targets, as the experiment does not usually require a final commitment. The developments identified during the trial period are easy to take into account in the actual RPA implementation.

Selecting the RPA supplier and delivery model

After a successful trial period, the choice of RPA delivery model and supplier follows. Typically, RPA is acquired either as a cloud service (Robotics-as-a-Service, RaaS) or under license for the company's own use. The choice between different delivery models is always made on a case-by-case basis.

Acquiring RPA as a cloud service allows the service to be easily scaled to meet changing needs. The supplier is responsible for maintaining the service and make the software robot available to customer in accordance with the agreement.

Acquiring an RPA license, in turn, guarantees full control but also full responsibility for the software. The maintenance and development of the robot thus remains in the company's own hands.

Building a roadmap for the future

Once the choice of acquiring RPA, delivery model and supplier has been made, a roadmap for utilizing it will be created. The plan should take into account how RPA will be utilized in the future, what kind of expertise is needed for this, and how and on what schedule the planned steps will be implemented.
